    1. Document Controller

    REPORTS TO: Document Controls Group Manager

    ADDITIONAL REQUIREMENTS: Occasional overtime to include weekends.

    JOB SUMMARY:
    • The Document Controller will work within the established document control system and programs to ensure that project and client information is accurate, controlled, transmitted, and archived for optimized tracking and retrieval. The Lead Document Controller is responsible for providing day-to-day document control activities for projects and company and for ensuring that project information is organized and identified according to company, client, and project requirements as well as coordinating the activities of other on a department or project basis.

    ESSENTIAL FUNCTIONS:
    Perform, direct or coordinate activities as follows:

    • Processing of incoming documents according to established company document control procedures
    • Preparation of internal and external transmittals
    • Application of company document numbers to project and corporate documents
    • Proper identification and classification of documents according to company and client requirements
    • Expediting of documents through internal and external review cycles as applicable
    • Utilization of company database for managing documents
    • Assist company and client project teams and company employees in the search and retrieval of documents upon request
    • Maintenance of project SharePoint sites as applicable
    • Work closely with project administrative staff to ensure the flow of documents is smooth and seamless and that documents are prepared and transmitted according to company standards
    • Monitor project schedules to determine what documents may be expected in a given time period
    • Notify group manager of project issues that arise
    • Communicate lessons learned / best practices identified on projects concerning document control to Document Control team and group manager
    • Develop project procedures and processes as required
    • Attend project team meetings to ensure that project and client teams understand and use the document control processes and procedures
    • Work in client offices as required
    JOB STANDARDS:
    • HS Diploma/GED or equivalent required with minimum ten years of relevant experience; bachelor degree in engineering preferred
    • Bachelor degree may be accepted in lieu of five years’ experience
    • Extensive knowledge in EDMS, MS Office, including MS Excel, MS Word, MS Access and MS Outlook.
    • Engineering project background and knowledge including familiarity with engineering documents such as reports, datasheets, lists and drawings
    • Prior experience in document control / quality assurance
    • Organizational skills - great attention to detail
    • Ability to follow systems, procedures and work flow processes and contribute to their improvement
    • Ability to handle many different responsibilities and follow through to completion
    • Ability to work in fast-paced environment
    • Flexibility to work within many systems and settings
    • Strong interpersonal skills - comfortable interfacing with clients and all levels of company employees
    WORKING CONDITIONS:
    • Work is primarily conducted in an office environment (Private or Semi-Private Office) but also requires occasional travel to off-site work locations.
    • Interaction with other team members, as well as supervisors and client personnel;
    • May be required to travel out of town on a periodic basis.

    2. Lead QA/QC Engineer

    Job Duties:
    • Preparation or implementation of Quality Manual(s) as well as implementing and monitoring departmental procedures;
    • Monitoring of quality control plans and surveillance of contractors’ and suppliers’ quality control systems;
    • Planning and instigating internal and external investigations and recommending/initiating any appropriate corrective actions;
    • Act as site quality mentor and advisor;
    • Attend construction meetings as applicable;
    • May manage Quality Control inspectors (Civil, Mechanical, Welding, etc.) or other QA/QC specialists;
    • Create and maintain applicable data and reports for management;
    • Establish and facilitate routine quality meetings with applicable personnel groups.
    Knowledge, Skills and Abilities
    • Bachelor’s Degree in applicable engineering discipline;
    • Ten years’ experience in managing quality on oil and gas EPC projects;
    • Familiarity with ISO 9000 standards required, certified ISO 9001 auditor preferred;
    • CSWIP certification, ASNT level II in UT/RT/MT/PT;
    • Familiarity with constructions codes such as ASME B 31.3 / SEC IX / API 650 and other related ASME/ API codes;
    • Must have the ability to work on multiple projects simultaneously;
    • Advance technical writing skills with the ability to effectively verbalize technical information;
    • Basic Microsoft Office skills with proficiency in Excel required;
    • Ability to interact with staff at all levels.
    3. IT Application Engineer

    Report to: IT team leader

    Department: Administration

    PRINCIPLE ACCOUNTABILITIES
    • Provide subject experience, implementation administration skills for SharePoint environment and other existing business applications based on Microsoft.
    • Develop and maintain strong working relationships with key users at all levels to understand their business drivers and work with the systems analyst to understand requirements and deliver/promote technical solutions as appropriate.
    • Ensure all Project Changes are fully documented & colleagues trained prior to handover to the helpdesk function.
    • Work with networking, storage, virtualization & other infrastructure teams to setup & maintain business critical SharePoint farms
    • Develop custom web parts and integrate enterprise content with SharePoint to include developing data repositories, content indexing and workflow
    • Configure and administer services, InfoPath services, web front end servers, indexing servers and database servers, social networking features, User Profile Services, site metadata, excel services, enterprise wikis
    • Collaborate with other IT staff to ensure services, system monitoring, capacity, high availability, business continuation, and disaster recovery
    • Participate in multiple projects as a key technical resource that may include implementation, issue resolution and development
    • To ensure change control for all business applications and ensure thorough System/UAT testing prior to a full and controlled release
    • To develop and maintain system documentation and procedures that includes:
      • Application Support Procedures
      • System and Technical Configuration Documentation
      • User Training for new systems
    • Provide technical expertise in the development of new and existing applications. This includes:
      • Assess the requirements of new workflows, and determine whether these are required
      • To liaise with suppliers on issues pertaining to routine and adhoc
      • Maintenance, technical support and development
      • To seek, understand, and translate business operational process needs into improvement specifications’ for Management Information Systems or new application development around company
      • Work with other members of the IT Applications Team to ensure that interfaces with other applications and third party products work.
      • Work with suppliers and end users to ensure that existing applications are optimized to meet business needs.
      • Work with suppliers and end users to implement new applications or new modules within existing applications
    • Identify suitable new and emerging technologies, develop business cases & coordinate proof of concepts
    • Provide support outside core hours for extended support during project implementations when required by the business.
    • To manage and develop data integrity and security standards for the systems, co-coordinating requests for access within agreed parameters.
    • Provide guidance and training to new end-users to use applications as required
    4. IT System Administrator

    PRINCIPLE ACCOUNTABILITIES
    • Contribute to develop business continuity plan ensuring BAU (Business as Usual) to reduce Recovery Point Objective (RPO), Recovery Time Objective (RTO) and minimize downtime.
    • Contribute to build backup/restore disaster recovery plan for IT System beside business continuity plan.
    • Contribute to the security design for projects, company and enhancements;
    • Day-to-day supervision, operation, maintenance and monitoring of IT Infrastructure include security, network, server, storage infrastructure and related IT activities.
    • Administer IT systems like e-mail server(s), domain controllers, antivirus….
    • Implementing configuration changes arising from business/project requests.
    • Troubleshooting and to resolve systems-related incidents and problems.
    • Evaluate new requirements for IT Systems and propose improvements to current IT Systems.
    • Continuously seek IT solutions to improve quality and efficiency of IT System.
    • Contribute to improve IT System that help business process
    • Supervise the installation, support and to ensure good working condition of IT infrastructure and IT devices by the third-party services.
    • Supervise and lead the level 1 IT support for end-user to meet business requirements & improving end-user experience.
    • Ensure level 2 support by analyzing, troubleshooting and resolving issues related to IT infrastructure that includes server, storage, network, security and other IT Systems
    • Design and implement new Security Solutions for IT system, beside improving and enhancing the current Information Security System.
    • Developing and establishing company security polices for effective information protection.
    QUALIFICATION AND EXPERIENCE
    • Bachelor degree in Computer Science, majoring Networking, Security
    • At least 5 years of experience in IT field
    • Good understanding of IT components in Datacenter.
    • Good knowledge of IT system in upstream Oil & Gas Company.
    • Experience in design, implement IT System & deliver IT Service for Oil & Gas Company in upstream/midstream/downstream sectors.
    • Experience in IT System Integration Company for Oil & Gas are preferred.
    • Experience in design & implement IT components in Datacenter as: infrastructure (cabling, cooling, UPS…), network (switch, router), security (firewall, IDS/IPS, SIEM), server, storage.
    • Experience in configuring, troubleshooting and maintaining hardware including server, network, security and datacenter infrastructure.
    • Experience in configuration, administration and supporting of MS Servers, MS exchange, Active Directory.
    • Experience in virtual server configuration & operation: VMware
    • Self-motivation and ability to work with minimum supervision.
    • Strong organizational and troubleshooting skills
    • Good analytical and problem solving skills
    • Good communication skills and fluent in English language
    5. Senior Project Controller – WHP, Pipelines & FSO.

    JOB FUNCTIONS:
    • The Senior Project Controller is responsible for the day to day coordination of various Project Control functions for the WHP’s, Pipelines & FSO.
    • Specifically this will include;
      • Activities prior to Project Sanction, including input of Project Control requirements into the Prequalification and ITB documentation as required, support in the evaluation of bids negotiations and award with particular focus on schedule, compensation, reporting and documentation.
      • During Execution responsibility for monitoring and reporting on engineering, procurement, fabrication, installation activities of project in accordance with project requirements to meet the stated Contract schedule milestones.
      • Providing initial reviews of Invoices and, as required, Contractor Claims and any Change Orders to the Scope of Work all in accordance with project requirements.
      • Supporting project inputs into the Corporate budgeting and expenditure process.
    • Whilst the position is initially based in Ho Chi Minh City it is expected that the role will require relocation to the main fabrication location with regular visits to other sites to validate the Contractors performance in accordance with the procedures and contract requirements.
    ORGANISATION STRUCTURE:
    • The Senior Project Controller – WHP, Pipelines & FSO directly reports to the Project Control Manager, but supports the Deputy Project Manager responsible for the WHP, Pipelines & FSO.
    • Reporting line when position relocates to site to be established.
    PRINCIPLE ACCOUNTABILITIES:

    Roles and Responsibilities:
    • Supports the project cost control, planning, IM and reporting services in coordination with the Project Control Manager, Lead Planner and Cost Control Lead, Project senior staff and relevant stakeholders.
    • Provides direct input and supports the establishment of Project Control procedures, as appropriate to achieve a successful project control system during the scope of the project.
    • Supports tendering activities (including tender preparation, pre-qualification, bid evaluation and award) for the WHP’s & Pipelines and FPSO EPCI contracts and others as required in the areas of project planning, scheduling, control and reporting in coordination with Contract Engineers and other Project senior staff.
    • Reviews and provides input to contractor's submitted Project Controls and Administration packages to ensure alignment with contract and project requirements.
    • Ensures that Contractor(s) meets their contractual requirements in respect of Project Control deliverables and that are submitted in a timely manner and are accurate.
    • Assists in analyzing Contractors cost and progress reporting and supports providing recommendations to mitigate any deviation.
    • Act as site team focal point for the verification of all Contractor progress and milestone related billings are in line with agreed procedures.
    Decision Making Authority:
    • Operate within the framework of an integrated Project Services function, established Project Management policies, internationally recognized standard Industry Practices, and contracting procedures.
    • Responsible to provide recommendations to support the execution of the project control services for the WHP’s, Pipelines and FSO contracts as per agreed project requirements and specifications.
    QUALIFICATION AND EXPERIENCE

    Education:
    • B.Sc. in an Engineering discipline from a recognized University; higher degree would be advantageous..
    • Membership of a recognized professional association/institution.
    Experience:
    • A minimum of 10 years’ experience in project control, of which 5 years in control of Oil & Gas major projects in an Oil & Gas company or Consultant/Contractor.
    • Minimum of 5 years in supervisory role.

    Specific knowledge:
    • Experienced in the management of project interface systems.
    • Experienced in the management and adopting a priority based approach to their mitigation.
    • Experienced in supporting development of project execution strategies, engineering and project management processes and project execution plans.
    • Familiar with activities and tasks related to engineering, procurement, fabrication, installation, commissioning and start-up of Oil & Gas major projects.
    • Extensive skills in management, effective communication, conflict resolution and presentation ability. Strong level of interpersonal, oral and written communication skills with the ability to interface, interact and work with internal; and external parties as required.
    • Demonstrated skill and flexibility in prioritizing and handling tight deadlines and constantly changing priorities whilst managing highest standards and appropriate level of detail.
    • Ability to work in a diverse cultural team environment; be able to work unsupervised; accept responsibility and act on directives.
    • Strong analytical and problem solving skills with sound technical competence in multiple discipline areas involving complex stakeholder management
    • Effective team work
    Business understanding:

    - Comprehensive understanding of SE Asian and Vietnam Contractors project control drivers in the various Engineering, Procurement, Fabrication, Onshore Commissioning, Installation and Hook-Up and Offshore Commissioning.
